GENERAL RESPONSIBILITIES:    FLSA: Hourly        

Supports District schools and principals in their effort to foster an optimal educational environment for students. Provide clerical support necessary in the overall operations and efficiency of the Superintendent’s and District Offices as designated by the Executive Assistant to the Superintendent/Governing Board. Assist in preparation and distribution of information to and for the Governing Board. Operate computers, copy and fax machines for various projects as assigned by the Superintendent’ offices. Assist in operating a multi-line switchboard to relay incoming, outgoing, and interoffice calls. Assist in the distribution of incoming district mail.

 

MAJOR DUTIES:

  • Presents a friendly, helpful attitude to people seeking information.
  • Answers all incoming calls to the District Office, directing them to appropriate person or taking messages as needed.
  • Greets all guests in a professional manner as they enter the District Office, such as answering routine questions or referring them to the correct office or person.
  • Performs typing, copying, filing, distribution, etc., of forms, and other similar tasks.
  • Perform copying and preparation of Governing Board Packets.
  • Assists with mailing information regarding the District as requested.
  • Assists in sorting and distributing all incoming District Office mail.
  • Operates and maintains the District Office copy machine and FAX machine.
  • Performs projects as needed.
  • Maintain a safe, attractive, clean, and comfortable environment for guest and employees.
  • Maintains confidentiality of personnel/all information.
  • Assist with Employee of the Month recognition programs
  • Cumulates all donations for the district and processes for Government Board Approval.
  • Performs other job-related duties and assumes additional responsibilities as assigned by the Superintendent.

QUALIFICATIONS:

  • High school graduate.
  • Ability to type/data entry accurately.
  • Two years office experience in a school district preferred.
  • Able to operate computers, copying machines, FAX machines, and a multi-line telephone system.
  • Ability to work with several different projects at one time.
  • Be familiar with the office procedures and etiquette of telephone responses.
  • Demonstrate effective filing and records maintenance.
  • Familiar with general office practices and procedures
  • Demonstrate effective interpersonal and communication skills.
  • Organized with the ablility to perform detailed work.

The work environment characteristics described here are representative of those of an office environment and as an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate.
